A signature that moves the workflow forward

Connect ValidSign digital signing to equipment handover, return and filing in TOPdesk and HR, so a signed document does not remain a disconnected attachment.

Illustration of people collaborating around a connected service workflow

Digitally signing a receipt is useful. But if someone still has to download, rename and file the signed document in several places, an administrative chain remains. The signature is digital while the follow-up is still manual.

Start with the agreement you need to record

When issuing a laptop, you may need to record who received which device. Connect the employee, equipment and correct document version before sending the signing request. This avoids having to attach a signature to an unknown or outdated record later.

Selecting issue or return in the Service Automation Suite form provides the document context. In the configured workflow, Service Automation Suite brings that information together and connects ValidSign to the signing step. The employee completes the agreed signing action. Your organisation determines the declaration’s contents and who needs to sign.

File the signed document where it belongs

Once signing has been confirmed, processing can continue. Service Automation Suite links the document to the agreed TOPdesk record and makes it available to the employee file in the connected HR application. The corresponding workflow status can also be updated.

This goes beyond a standalone signing request. Your team uses the same employee and asset references without manually transferring the signed attachment again.

An open request is not confirmation

Agree what happens if a signature is outstanding, refused or cannot be matched to the correct record. Make clear who follows up and which step must wait. An outstanding signature should not disappear from view once the laptop has been handed over.

A signature and a physical return are different events. On return, someone needs to confirm actual receipt of the equipment. Agree separately which declaration, if any, applies.

Reuse the approach for other documents

The same approach can support other equipment receipts and declarations. Start with one document and one workflow. Once employee, device, signature and file are connected correctly, reuse that configuration where the pattern fits.

API Composer handles the required exchange and actions. Dataflow Composer prepares the data and maintains useful relationships. ValidSign handles signing; TOPdesk and HR remain the appropriate homes for their records and documents.
