AEOS, TOPdesk and AFAS: one connected process for physical access

AEOS from Nedap Security handles physical access control within organisations. The system manages passes, authorisations, zones and time profiles and ensures that only authorised personnel gain access to buildings, areas and lockers.

TOPdesk is the process and registration system where requests, approvals and exceptions are recorded. AFAS or another HR system is the source for personnel data, roles and photos.

By integrating these systems with Service Automation Suite a single automated end-to-end process for physical access is created.

How does this work in practice?

1	Employee data and photos are recorded in AFAS
2	Based on role, contract or function, it is determined whether a physical access pass is required
3	Only when applicable is an automatic pass request initiated
4	TOPdesk registers the request, approval and status
5	Data is transferred via the SQL Import tables to AEOS
6	AEOS creates or modifies the pass including access rights

Not every employee automatically receives a pass. The logic determines whether physical access is required, for example only for office staff, facility functions or specific locations. Exceptions remain manageable and visible in TOPdesk.
