Re-entering data, investigating differences and fixing mistakes. Service Automation Suite connects records and checks so one change does not create work everywhere.
A department or contact detail changed, but not in every tool.
What we connect
Service Automation Suite reads AFAS or Youforce, for example, matches the person and updates agreed data in TOPdesk, for example.
Less retyping and fewer conflicting versions of the same record.
Time records into administration
Hours are recorded, but finance receives them through separate exports.
What we connect
Service Automation Suite connects service time records to AFAS, for example, using your customer codes, checks and processing rules.
See what was processed and which record still needs correction.
Reuse the same relationships
Every integration has to identify the same customer or owner again.
What we connect
A customer can have different identifiers in Dynamics 365 and your service tool. Service Automation Suite maintains the relationship between those records centrally. Further integrations reuse the same matching and source rules.
Build on shared rules rather than creating more separate lists.
Connecting your tools
Keep your systems. We connect the work.
Define the authoritative source per field. Connect customer data from Dynamics 365 Sales, administration from Business Central and records from your service tool, for example. Service Automation Suite matches relationships, checks differences and updates agreed fields.
Not a solution only its builder understands. Together, we define data relationships, mappings and rules for reuse in future processes. We agree who tests and maintains them so a colleague can take over.
Other tools? We review the capabilities, APIs and permissions in your environment. Your existing systems remain where you work.
From plan to delivery
What is holding this back?
The integration is one part. The surrounding agreements make it work.
Why does everyone keep their own spreadsheet?
The authoritative source and how to recognise the same person or customer are not always clear. We define those relationships and source rules together and reuse them. Discrepancies are checked rather than silently overwritten.
Do all applications need to be replaced first?
No. We start with existing systems and available interfaces. Define where each data item is managed and where it is needed. Service Automation Suite handles configured processing and feedback; source systems retain their roles.
Data updatesOne change. Your systems follow.Stop re-entering and comparing records.
The challenge
Point-to-point integrations become fragile and difficult to manage as volumes and exceptions grow.
What we handle
Dataflow Composer structures sources, transformations and output; API Composer handles system interactions.
The outcome
Reusable data flows with better management and less custom development.
Data updatesKeep employee records alignedLet the agreed source lead.
The challenge
Employee data is often maintained in several places and gradually becomes inconsistent.
What we handle
Service Automation Suite uses AFAS or Youforce as the source and synchronises relevant employee data to TOPdesk in a controlled way.
The outcome
Less duplicate administration and more current employee data for service processes.
Usage & billingFrom hours worked to billingConnect recording, checks and processing.
The challenge
Time may be recorded, but validation, aggregation, exceptions and recharging still require manual checks. This causes corrections, delays and dependence on individual knowledge.
What we handle
Service Automation Suite retrieves relevant time entries, enriches and validates them, applies agreed rules and forwards only complete, valid data to the financial process. Exceptions remain visible for targeted follow-up.
The outcome
Less administration, fewer corrections, faster billing and a repeatable route from service records to financial processing.
Usage & billingBill services correctlyBring delivered services and administration together.
The goal
From delivered services, assets or licences to verifiable billing across multiple customers.
What we prevent
MSP billing involves time, assets, licences, contracts and exceptions; manual reconciliation does not scale well.
Our approach
One reusable process model across customer environments, with logging, approvals and an audit trail.
Data updatesReplace a system. Keep the process.Keep processes connected as tools change.
The goal
Your process is not your application: retain policies, process logic and control while the underlying technology changes.
What we prevent
When business logic lives in scripts or a single application, every migration means rebuilding the process.
The outcome
Technology changes. Processes and control remain.
Usage & billingFrom actual usage to invoiceProcess usage according to agreed rules.
The goal
From actual usage to verifiable billing.
What we prevent
Usage, contractual agreements and billing often sit in different systems, leaving reconciliation as manual work.
How we maintain control
Usage sources and financial systems remain replaceable; Service Automation Suite monitors the chain and its exceptions.
Your process leads. The tools can vary. We configure connections around the capabilities and permissions in your environment.
Your data layer makes different systems useful to the same process. Preserve meaning and relationships, not just a copy of a field.
An authoritative source per field
Define where people, companies, assets and ownership are managed. Not every field needs to come from the same application.
Different keys, the same relationship
Maintain identifiers from different tools in central tables. Reuse established relationships instead of matching names again for every connection.
Map fields and values
Map agreed fields and option values to the receiving application. The same translation table can support several integrations.
Review differences before processing
Check completeness, duplicates and conflicts. Uncertain matches or missing data receive targeted follow-up.
Verify processing
Record what was updated and what failed. Correct the cause and reprocess the relevant work without manually reconstructing the administration.
Manage it together, even when your team changes.
Relationships, mappings and process agreements have a recognisable place in the same environment. Colleagues can follow configuration and processing without first reconstructing the original builder’s personal approach.
Your process keeps evolving after go-live. Handle an extra field, changed owner, new exception or small workflow change from the same foundation: adjust it, review the impact, test it and track processing. Agree who manages it, who reviews changes and when our support is needed.
Beyond the first integration.
Use the same data and rules in your next process.
Start with one use case. Connect customer, employee and asset data, for example, and agree which source is authoritative. Reuse those relationships, a matrix where needed and configured actions in the next workflow. Agree who maintains the data and rules. Expand without repeatedly connecting and maintaining the same information.
A different name does not mean a new record.
A person or organisation has a different name in the source than at a customer or supplier. Matching text again can create incorrect or duplicate relationships.
Combine
Retain verified identifiers and source rules in a shared table. Reuse the relationship for requests, tickets and other integrations.
The outcome determines what follows
Known key: use the relationship. Multiple candidates or a missing identifier: request review. Once confirmed, reuse the established relationship.
The benefit
A consistent data foundation managed by your team instead of investigated again for every connection.
Ordered, delivered and actually in use?
Procurement, a supplier and technical inventory each hold part of the picture. A delivered asset is not automatically assigned to its correct owner.
Combine
Compare orders, delivery details, serial numbers and inventory with central ownership relationships. Keep missing confirmations part of the workflow.
The outcome determines what follows
Matching data: update the agreed records. Unknown device, unexpected owner or unconfirmed delivery: create work for the correct support group.
The benefit
Fewer gaps between administrative and technical records and targeted follow-up of discrepancies.
Refreshing a report does not guarantee reliable data.
A source request can succeed while data is missing, differently coded or not yet fully retrieved.
Combine
Combine pagination and output mapping with agreed data checks. Use shared relationship tables to connect sources.
The outcome determines what follows
Checks passed: prepare the dataset. Deviation: request review and expose freshness. Temporary API failures follow a bounded recovery path.
The benefit
A clearer distinction between a technically successful import and information fit for decision-making.
Your process needs more than a standard action?
Configure the missing API request, input and output in API Composer. Use its response in the next step and combine it with data tables, forms and automations. Extend the same product and reuse the configured building blocks.
Use Service Automation Suite to update a ticket in TOPdesk, for example, with fields available through its API, such as category, priority, status and support group. For another application, configure its request and field mapping. The outcome determines the next action: confirm, add information or request review, not merely check whether the request arrived.
Need to publish data or let others submit it? Endpoint Composer exposes a configured Service Automation Suite data object with selected methods and security profiles. Other building blocks handle subsequent processing.
